Conditions of admission:

  • Total size of the exhibition space: 200 m2
  • Architectural setting based on design by Tom Postma Design, the worldwide lead architect of art fairs
  • Between 8 and 12 participants (depending on sizes and choice). 1 work per participant.
  • Participation exclusively in combination with Main Section, Solo/Duo or New Art Section
  • Installations, performance, video, sculpture or installations of painting or photography. The only criterium is topicality and durable quality, Now/Forever.

  • Fixed contribution per presentation: € 1.750,- (excl. 21% VAT) *
  • Production, transport and installation of the artworks are at the expense of the gallery

Provisions and conditions Art Rotterdam 2020

  1. Organisation 
    The Art Rotterdam art fair is the property of and will be organised by Art Rotterdam BV, referred to hereafter as Art Rotterdam. Art Rotterdam has final responsibility for the content of the art fair.
  2. Location and opening times 
    The art fair will take place in the Van Nelle Fabriek on the Van Nelleweg 1 in Rotterdam, the Netherlands from Wednesday 5 February up to and including Sunday 9 February 2020.

  3. Assembly and disassembly by the galleries 
    The assembly by the galleries is possible only on Tuesday 4 February between 08.00 and 24.00 hrs and on Wednesday 5 February between 08.00 and 11.00 hrs. On Wednesday 5 February the stands should be equipped and cleared up by 11.00 hrs at the latest. Stocking up should take place between 10.00 and 10.45 hrs on each of the exhibition days (from 6/2 – 9/2). Stands must be manned during all opening times including during the private opening times. Stands should be cleared on Sunday evening 9 February by 24.00 hrs at the latest. Disassembly takes place on Sunday 9 February from 19.00 to 24.00 hrs.
  4. Participation and registration
    Participation is open to galleries, project spaces and art dealers active in modern, contemporary and/or topical art in the broadest sense of the word. Registration is only possible by way of the enclosed registration form. This form does not guarantee participation. All applications for participation will be presented for assessment to the selection committee/curator. The registration form should be in the possession of Art Rotterdam by 21 September 2019 at the latest. Art Rotterdam stores the information received from applicants in its designated administration. By applying the applicant gives permission for the use and storage of this information. After a participation agreement has been concluded, Art Rotterdam can use this data for the organisation of the fair as well as for related publishing purposes in the form of a (online) catalogue, the Art Rotterdam Newspaper, website, social media, etc. Art Rotterdam is authorized to take pictures and motion pictures of the fair and the booth spaces and persons present for the publication purposes of Art Rotterdam. Participants and personnel hired by them will condone the publication and/or distribution of the recordings and indemnify Art Rotterdam for any claims regarding this matter.
  5. Acceptance, admission and payment
    Acceptance of registration will take place following approval by Art Rotterdam. Upon acceptance (half November 2019) an advance payment of € 1.500,- (excluding VAT) must be made before December 4th 2019. The remaining payments of the stand rental and the fixed charges plus the statutory VAT are to be paid before January 5th 2020. If payment requirements have not been met on time, the participant has no entitlement in any form. All (payment collection) costs arising from not paying invoices on time will be charged entirely to the participant. In the event of one or more accounts not being paid on time Art Rotterdam is entitled to provide the place allocated to another party without further intervention.
  6. Cancellation of registration / breach of contract 
    In the event of cancellation of the registration or breach of contract then, up until 3 months before the artfair, 50% of the total costs of participation must be paid by the exhibitor to Art Rotterdam. After this 100% of the total costs of participation must be paid by the exhibitor to Art Rotterdam.
  7. Stand and lighting
    Each stand will be provided as standard with side and back walls, lighting and a name plate or signing. Main Section: the price for renting the stand per square meter is € 225,- (excluding V.A.T.) and a fixed amount of € 750,- (excluding V.A.T.). New Art Section has a fixed contribution per booth [size: 20 m2] € 3.950,- (excluding V.A.T.). Solo/Duo: fixed contribution per booth [size: 27 m2] € 5.900,- (excluding V.A.T.). Now/Forever presents artworks in an architectural setting based on design of Tom Postma Design, fixed contribution: € 1.750,-. (excluding V.A.T.). Production, transport and installation of the artworks are at the expense of the gallery. For non-Dutch galleries the reverse charge procedure may apply for V.A.T. The gallery has to provide Art Rotterdam with the gallery V.A.T. number. Without the express permission of Art Rotterdam the participant is not entitled to place anything whatsoever outside the lines of the surface area rented by him. The costs of stand assembly include standard lighting. The standholder is obliged to keep the stand clear of all stock, packaging materials and such.
  8. Admission tickets for contacts and participants
    Each participant will receive from the organizers 3 vip tickets. These tickets provide an entitlement to free admission during the preview, opening or on other exhibition days. In addition there will be 75 tickets for 1 person for the official opening and 25 tickets for 1 person for the official opening or free admission to the other exhibition days. Participants are obliged to wear the fully completed ‘participants badges’ in a clearly visible manner. Each stand holder is entitled to a maximum of 4 badges. These are strictly personal and may only be used by the participants themselves. In the event of misuse these badges may be immediately withdrawn by the organizers.
  9. Security
    The organizers will provide security outside of assembly, opening and disassembly times from Tuesday 4 February 08.00 to Sunday 9 February 24.00. In order to prevent theft during the art fair all purchases leaving the art fair should be provided with a fully-completed and signed ‘exit slip’ which will be issued by the organizers. During setting up, opening and disassembly times the care of goods is expressly at the expense and risk of the participant.
  10.  Qualification
    Art Rotterdam is not liable for loss, theft or damage to persons or goods in whatever form. The participant is obliged to take out proper insurance for this. The organizers are entitled to ask for proof of insurance if they consider it necessary.
  11. Force majeur
    If the art fair is cancelled, delayed or shortened through unforeseen circumstances or circumstances beyond its control then Art Rotterdam may not be held liable in any event. Participating galleries, in that case, can not make any claim for damages or repayment by Art Rotterdam.
  12. General
    Art Rotterdam will decide in all cases which are not foreseen by these provisions and conditions. The instructions of Art Rotterdam or an executive organizer appointed by Art Rotterdam must be complied with at all times. In the event of a dispute the court at Rotterdam is solely competent. All information has been put together with care but Art Rotterdam may not be held liable for its accuracy and no rights may be derived from the details provided.
