Conditions of admission:

  • The video presentations take place as part of the gallery presentation at the fair. This extends the gallery’s booth with a video space of 3 meters wide and 3 meters deep.
  • Fixed price: € 2.900,- excluding VAT*
  • Participation exclusively in combination with Main Section, Solo/Duo or New Art Section.
  • It is not allowed to show works on the walls in the Projections booth.
  • Given the current situation, Art Rotterdam will take place in February as always. In the unlikely event a new covid situation takes place resulting in a lockdown and/or ban on events, the February edition will be postponed to an alternative date in 2023. In this case, registrations are automatically valid on this alternative date.

*VAT is charged only to Dutch galleries and international galleries without VAT number

Provisions and conditions Art Rotterdam 2023

  1. Organisation 
    The Art Rotterdam art fair is the property of and will be organised by Art Rotterdam BV, referred to hereafter as Art Rotterdam. Art Rotterdam has final responsibility for the content of the art fair.
  2. Location and opening times 
    The art fair will take place in the Van Nelle Fabriek on the Van Nelleweg 1 in Rotterdam, the Netherlands from Wednesday 8 February up to and including Sunday 12 February 2023.

  3. Covid
    Art Rotterdam offers participants and visitors a safe stay according to the Dutch government guidelines. Should a new covid situation occur with a lockdown and/or ban on events as a result, the February edition will be postponed to an alternative date in 2023. In this case, registrations/participations are automatically valid on the alternative date.
  4. Assembly and disassembly by the galleries
    The assembly by the galleries is possible only on Tuesday 7 February between 08.00 and 24.00 hrs. On Wednesday 8 February the stands should be equipped and cleared up by 11.00 hrs at the latest. Stocking up should take place between 09.00 and 09.45 hrs on each of the public days (from 9/2 – 12/2). Stands must be manned during all opening times including during the private opening times. Stands should be cleared on Sunday evening 12 February by 24.00 hrs at the latest. Disassembly takes place on Sunday 12 February from 19.00 to 24.00 hrs. It is not allowed to show works on the walls in the Projections booth.
  5. Participation and registration
    Participation exclusively in combination with Main Section, Solo/Duo and New Art Section. Registration is only possible by way of the enclosed registration form. This form does not guarantee participation. All applications for participation will be presented for assessment to the selection committee. The registration form should be in the possession of Art Rotterdam by September 23, 2022 at the latest. Art Rotterdam stores the information received from applicants in its designated administration. By applying the applicant gives permission for the use and storage of this information. After a participation agreement has been concluded, Art Rotterdam can use this data for the organisation of the fair as well as for related publishing purposes in the form of a (online) catalogue, the online Art Rotterdam Newspaper, website(s) / blogs, social media, etc. Art Rotterdam is authorized to take pictures and motion pictures of the fair and the booth spaces and persons present for the publication purposes of Art Rotterdam. Participants and personnel hired by them will condone the publication and/or distribution of the recordings and indemnify Art Rotterdam for any claims regarding this matter.
  6. Acceptance, admission and payment
    Acceptance of registration will take place following approval by Art Rotterdam. Upon acceptance (half November 2022) an advance payment of € 1.500,- (excluding VAT) must be made before December 3rd 2022. The remaining payments of the stand rental and the fixed charges plus the statutory VAT are to be paid before January 5th 2023. If payment requirements have not been met on time, the participant has no entitlement in any form. All (payment collection) costs arising from not paying invoices on time will be charged entirely to the participant. In the event of one or more accounts not being paid on time Art Rotterdam is entitled to provide the place allocated to another party without further intervention.
  7. Cancellation of registration / breach of contract
    In the event of cancellation of the registration or breach of contract then, up until 3 months before the artfair, 50% of the total costs of participation must be paid by the exhibitor to Art Rotterdam. After this 100% of the total costs of participation must be paid by the exhibitor to Art Rotterdam.
  8. Booth
    The video presentations take place as part of the gallery presentation at the fair. This extends the gallery’s booth with a video space of 3 meters wide and 3 meters deep. Participation exclusively in combination with Main Section, Solo/Duo or New Art Section. The Projections booth is fully equipped for € 2,900 ,-. (gray painted video room of 3 x 3 meters, 2 meter wide screen, sound system, headphones, wall text with background information, signing, bench). For non-Dutch galleries the reverse charge procedure may apply for VAT. The gallery has to provide Art Rotterdam with the gallery VAT number. The booth has to be kept neat and clean, at all times. The booth holder is obliged to keep the booth clear of all stock, packaging materials and such. It is not allowed to show works on the walls in the Projections booth.
  9. Participants badges
    Participants are obliged to wear the fully completed ‘participants badges’ in a clearly visible manner. Each stand holder is entitled to a maximum of 6 badges. These are strictly personal and may only be used by the participants themselves. In the event of misuse these badges may be immediately withdrawn by the organizers.
  10. Security
    The organizers will provide security outside of assembly, opening and disassembly times from Tuesday 7 February 08.00 to Sunday 12 February 24.00. In order to prevent theft during the art fair all purchases leaving the art fair should be provided with a fully-completed and signed ‘exit slip’ which will be issued by the organizers. During setting up, opening and disassembly times the care of goods is expressly at the expense and risk of the participant.
  11. Qualification
    Art Rotterdam is not liable for loss, theft or damage to persons or goods in whatever form. The participant is obliged to take out proper insurance for this. The organizers are entitled to ask for proof of insurance if they consider it necessary.
  12. General
    Art Rotterdam will decide in all cases which are not foreseen by these provisions and conditions. The instructions of Art Rotterdam or an executive organizer appointed by Art Rotterdam must be complied with at all times. In the event of a dispute the court at Rotterdam is solely competent. All information has been put together with care but Art Rotterdam may not be held liable for its accuracy and no rights may be derived from the details provided.
